The Restorative Justice Association of British Columbia (“RJABC”, “we”, “us”) is committed to maintaining the accuracy, confidentiality, and security of your personal information. This Privacy Policy (the “Policy”) describes the personal information that RJABC collects from or about you, how we use it, and to whom we disclose it.

This Policy is designed to comply with the British Columbia Personal Information Protection Act (“PIPA”) and, where applicable to our cross-border activities, the Personal Information Protection and Electronic Documents Act (“PIPEDA”).

We collect personal information directly from you when you register for membership, subscribe to our communications, or register for the RJABC Symposium.

Identifiers: Name, professional title, organizational affiliation, and contact details (email, telephone, and mailing address).
Symposium-Specific Data: Dietary requirements and physical accessibility needs.
Financial Information (Membership): Where payment is made via cheque, we collect banking information necessary for deposit and reconciliation.
Financial Information (Symposium): All credit card transactions are processed through a third-party service provider (Eventbrite). RJABC does not collect, store, or have access to full credit card numbers or CVV data.

4. Purposes for Collection, Use, and Disclosure

RJABC collects and uses personal information only for purposes that a reasonable person would consider appropriate in the circumstances, including:

  • To establish and maintain your membership and verify your eligibility for member-only resources.
  • To facilitate the planning and execution of the RJABC Symposium.
  • To distribute newsletters, training alerts, and organizational updates (subject to your right to withdraw consent).
  • To meet legal and regulatory requirements.

5. Consent

By providing your personal information to RJABC, you consent to our collection, use, and disclosure of such information in accordance with this Policy. You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice.

RJABC does not sell or trade personal information. We may disclose personal information to third-party service providers (e.g., email distribution platforms, event management software, or cloud storage) to fulfill the purposes identified in Section 4.

Some of our service providers may be located outside of British Columbia or Canada. Consequently, your personal information may be processed and stored in foreign jurisdictions and may be subject to the laws of those jurisdictions, including those allowing access by government or law enforcement agencies.

Our website uses “cookies”—small text files placed on your device—to ensure the functionality of the Members-Only section.

Essential Cookies: Required to maintain your authenticated session.
Performance Cookies: We use anonymized analytics to evaluate website traffic and performance. Users may adjust browser settings to refuse cookies; however, doing so will render the Members-Only portal inaccessible.

8. Safeguards and Retention

We employ physical, organizational, and technological security measures appropriate to the sensitivity of the information.

Physical: Physical cheques are kept in secure, locked storage and processed only by authorized personnel.
Technological: The Members-Only portal utilizes encryption for data in transit. Personal information is retained only as long as necessary to fulfill the identified purposes or as required by the BC Societies Act and Canada Revenue Agency guidelines.

9. Access and Correction

You have the right to request access to the personal information we hold about you and to request a correction of any inaccuracies. Requests must be made in writing to our Privacy Officer.
